Responsibilities
- Provide direct operational and administrative support to the Executive Director of Administration
- Manage and coordinate the Director’s agenda, including scheduling meetings and prioritizing commitments
- Prepare meeting materials, including agendas, presentations, and briefing documents
- Draft and distribute meeting minutes, ensuring accurate documentation of decisions, action items, and next steps
- Track follow-up actions and ensure timely progress with functional area leaders
- Monitor ongoing projects and support coordination across areas under the Administration Division
- Facilitate communication and alignment between departments to ensure operational efficiency
- Support the development of reports, dashboards, and internal documentation
- Assist in organizing workshops, coordinating meetings, and planning sessions
- Ensure proper document management and information flow within the Administration Division

Requirements & Qualifications
- Proven project management skills, with experience coordinating multi-stakeholder initiatives
- Planning and Resource Management skills, with the ability to develop detailed, chronological plans and allocate resources effectively
- Strong organizational skills and ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills in English
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Understanding of Power BI would be appreciated
- Ability to work in a fast-paced, international environment with high levels of responsibility
