The World Food Programme is hiring an Assistant to the Management Services in Abidjan, Côte d'Ivoire. This role reports to the Chief of Finance and Administration. Responsibilities
- Manage the administrative and operational aspects of assets, office supplies, official travel, and protocol activities to ensure efficient and high-quality service delivery.
- Collect, consolidate, and analyze data related to assets, supplies, travel, and associated expenses to produce reports and support decision-making.
- Process common transactions related to supply acquisition, asset management, travel reservations, expense reimbursements, and related administrative services, in accordance with established procedures.
- Maintain physical and electronic records of assets, inventory, travel, visas, residence permits, and other administrative documents, ensuring accessibility and compliance.
- Serve as the primary point of contact for internal requests related to assets, office supplies, official travel, and protocol matters, providing prompt and adapted responses.
- Participate in the continuous improvement of asset management, supply, travel, and protocol procedures to increase efficiency and service quality.
- Utilize digital tools and the organization's management systems to track inventory, purchases, travel, and administrative records.
- Provide administrative and logistical support for the organization of official missions, delegation visits, and inter-agency initiatives, in accordance with organizational standards and procedures.
- Coordinate with internal services, suppliers, travel agencies, administrative authorities, and other external partners to ensure efficient service delivery.
- Provide guidance and technical support to relevant staff on procedures related to asset management, supplies, travel, and administrative formalities.
- Participate in emergency preparedness and response activities, ensuring the availability of material resources, logistical support, and travel arrangements, in accordance with supervisor directives.

Requirements & Qualifications
- Minimum 5 years of experience in administration/management of services (assets, travel, and/or protocol) in an organization of comparable size, with experience in a UN environment desirable.
- Experience in travel processes, protocol, and liaison with authorities (visas, residence permits, verbal notes).
- Ability to provide support to staff by offering advice and guidance.
- Experience working with teams in different functional areas.
- Good understanding of regulations, policies, procedures, processes, standards, and systems of the World Food Programme's management services or the United Nations, or a strong ability to learn.
- Bachelor's degree or post-secondary certificate in administration, management, or finance is an asset.
- Fluency in French and intermediate level in English are required.
