Opportunity Overview
The World Health Organization is hiring an Assistant to the WR, based in Lebanon, to support the implementation of WHO country cooperation strategies. The successful candidate will work closely with high-ranking officials, manage the WR's calendar, and maintain contacts with external partners. The role requires a strong administrative background, with at least eight years of progressive secretarial or administrative experience. The Assistant will also be responsible for drafting routine correspondence, organizing travel, and maintaining confidential files. Responsibilities
- Arrange and maintain the WR's calendar of appointments and internal/external meetings
- Receive, screen, and route correspondence, and undertake searches for information
- Compile briefing materials needed by the Representative for use on official trips or special meetings
- Maintain contacts with different external partners, including counterparts and officials in government institutions and diplomatic missions
- Draft routine correspondence, type documents and reports, and prepare tables, graphs, and power point presentations
- Organize the WR's travel, including raising travel requests, requesting itineraries, obtaining visas, and arranging hotel bookings
- Ensure timely renewal of the WR's residency permits, UN Laissez Passer, and other personal documents
- Maintain and update the WR's library, list of contacts, technical records, reference material, and confidential files
- Take proactive follow-up action and keep the WR informed
- Respond and/or direct inquiries to the appropriate Unit for timely action and/or response
- Assist in the issuance of SSA agreements and follow up on submission of progress reports and completion of achievement reports
- Update WCO Lebanon social media networks based on the input of technical and administrative units
- Assist in administrative matters and meetings as needed

Requirements & Qualifications
- Completion of secondary school, secretarial training, and computer training
- At least eight years of progressive secretarial or administrative experience
- Good drafting skills
- Ability to maintain good working relationships with clients and stakeholders
- Very good time management and stress management skills
- Knowledge of WHO rules, manuals, procedures, and practice is an asset
- Expert knowledge of English and local language
- Intermediate knowledge of French is desirable
- University degree in business administration, social sciences, or related field is desirable
- Relevant experience in the UN system is desirable
