Development Gateway, an international non-profit organization, is hiring a Senior Program Coordinator for the Early Grade Education Activity in Jordan. This role is based in Amman, Jordan, and will serve as a central coordination and operations focal point for Development Gateway's work under the ASAS consortium. The Senior Program Coordinator will report to Development Gateway's Oversight Lead based in the UK and work closely with IREX colleagues and other consortium team members. The ideal candidate is a self-starter who is proactive in identifying and responding to needs, highly organized, and experienced in coordination, vendor management, and operations. The Senior Program Coordinator will be responsible for coordinating day-to-day implementation of Development Gateway's ASAS workstreams, maintaining and updating work plans, schedules, trackers, and core project documentation. They will also provide high-quality administrative support, coordinate logistics, and support travel, transportation, accommodation, and related logistics for Development Gateway staff, consultants, and partners. The role requires strong coordination and communication skills, with the ability to work across remote and in-country teams, follow up on multiple deadlines in parallel, and handle shifting priorities with professionalism and attention to detail. The Senior Program Coordinator will be embedded within the ASAS office in Amman and is expected to work closely with the broader Jordan-based consortium team to support strong communication, accountability, and operational alignment across partners. They will also coordinate closely with Development Gateway team members across Jordan and global offices to ensure effective communication, timely information sharing, and alignment on deliverables and priorities.
Responsibilities
- Coordinate day-to-day implementation of Development Gateway's ASAS workstreams, ensuring timelines, deliverables, dependencies, and follow-up actions are tracked and completed on time
- Maintain and update work plans, schedules, trackers, status updates, and core project documentation in coordination with Development Gateway colleagues and consortium counterparts
- Proactively manage risks to Development Gateway's deliverables, identify potential delays in consortium workflows that impact Development Gateway's scope, and draft mitigation strategies
- Support internal planning and implementation processes by monitoring progress, identifying bottlenecks, and escalating risks, delays, or capacity issues early with proposed mitigation actions
- Coordinate inputs from Development Gateway team members for weekly, monthly, quarterly, and other program reporting requirements, ensuring accuracy, completeness, and timely submission
- Track action items across meetings and workstreams and follow up with responsible team members to maintain accountability and momentum
- Provide high-quality administrative support for Development Gateway's ASAS portfolio, including scheduling meetings, managing calendars, preparing agendas, drafting notes, tracking decisions, and coordinating follow-up actions
- Coordinate logistics with Development Gateway and IREX colleagues as needed for online and in-person meetings, workshops, and program events
- Support travel, transportation, accommodation, and related logistics for Development Gateway staff, consultants, and partners engaged in ASAS activities
- Organize and maintain shared documentation, filing systems, trackers, workflows, standard operating procedures, guidance notes, and reference materials to support operational continuity and knowledge management
- Support procurement and vendor management processes, including requesting quotations, coordinating approved purchase orders, tracking scope, timelines, status, and costs, and maintaining accurate records
- Serve as a key coordination point with vendors and external service providers, including translation providers, travel and accommodation suppliers, and other operational consultants or firms engaged by the project
- Review vendor deliverables for completeness and administrative accuracy, consolidate feedback from Development Gateway and IREX colleagues, and coordinate revisions or follow-up with service providers as needed
- Review invoices and supporting documentation for accuracy and completeness before submission for approval in line with Development Gateway procedures
- Help identify consultant or short-term technical support needs and coordinate onboarding and engagement processes in collaboration with Development Gateway management
- Communicate with the Oversight Lead to flag local financial risks, variances, or compliance bottlenecks early
- Coordinate closely with Development Gateway team members across Jordan and global offices to ensure effective communication, timely information sharing, and alignment on deliverables and priorities
- Work across Development Gateway and IREX structures to ensure tasks, approvals, workflows, and documentation are coordinated efficiently and in line with consortium requirements
- Support collaboration with other consortium partners, universities, government stakeholders, and technical counterparts by maintaining proactive, clear, and professional communication
- Prepare presentations, briefs, and coordination materials in English and Arabic, and support team members in refining materials for internal and external audiences
- Help ensure the smooth flow of information across team members, partners, and stakeholders so that operational decisions and implementation steps are clear and actionable
- Manage multiple workflows simultaneously, including reporting, procurement support, logistics, meeting coordination, consultant follow-up, and documentation control, while maintaining quality and deadlines
